Veteran Nexus Advisors (“we,” “us”) helps veterans build medical evidence for VA disability claims. Because our work involves sensitive health information, protecting your privacy is central to how we operate. This policy explains what we collect, how we use it, and the choices you have.

1. Information we collect

Contact and account details you provide, such as your name, email, phone number, and mailing address.

Service and claim information you share during intake, including your branch of service, exposures, the conditions you are claiming, and your current or prior VA rating.

Medical records and related documents you upload or provide so a provider can review them and prepare your letter.

Basic technical data (such as log and device information) needed to operate and secure the portal.

2. How we use your information

To provide our services: reviewing your records, conducting your review, and preparing nexus, excess, and rebuttal letters.

To communicate with you about your appointments, documents, and the status of your work.

To operate, secure, and improve our portal, and to meet legal and record-keeping obligations.

We do not sell your personal information, and we do not use your medical records for advertising.

3. How we protect your information

Medical records and documents are stored in encrypted, access-controlled storage, and are served only through short-lived, private links.

Access to your information is limited to team members who need it to do their work, under role-based permissions.

We work with service providers (such as our secure database, storage, and payment processors) under agreements that require them to safeguard your information, including HIPAA Business Associate Agreements where applicable.

4. Sharing your information

We share information only as needed to provide the service (for example, with the provider reviewing your records), to process payments, or where required by law.

We do not sell or rent your information to third parties.

5. Data retention

We keep your information for as long as needed to provide our services and to meet legal, tax, and record-keeping requirements, after which it is deleted or de-identified.

6. Your choices and rights

You may request access to, correction of, or deletion of your personal information, subject to legal and record-keeping limits.
